Service Coordinator

Function

As Service Coordinator, you are the driving force behind efficient planning and coordination of interventions and maintenance work at customers' premises. In this pivotal role, you play a crucial role in customer contact and are responsible for keeping the service department running smoothly. You keep an overview of fault reports, maintenance contracts, and urgent interventions, and ensure that everything is dealt with on time and in accordance with legal requirements.

Your duties will include:

• Taking and processing incoming fault reports via phone and email.
• Prioritising interventions based on urgency, impact and client agreements.
• Scheduling and monitoring service technicians.
• Liaising with customers on planning and progress.
• Administrative processing of service receipts and refrigerant accounting according to F-gases regulations.
• Supporting the preparation of quotations and working documents.
• Ordering and following up parts in consultation with technicians.

Profile

For this position, we are looking for a stress-resistant and organised employee who can switch well in a dynamic environment. Your profile includes:

• Ideally, a degree in a technical/scientific secondary or undergraduate course.
• A strong sense of organisation and ability to prioritise.
• Professional and customer-oriented communication skills.
• Accuracy and an eye for administrative details.
• Affinity with engineering; experience in refrigeration, HVAC or technical dispatching is a plus.
• Knowledge of Outlook, Excel and ERP or planning software.
• Independence in your work, but also a team player.
• A good command of Dutch. Knowledge of French is a plus.
• Experience in a service planning or dispatching role is a plus.
• Familiarity with F-gases administration or refrigerant registration is a plus.

Organisation

Our client is a Belgian family business specialising in total refrigeration solutions and customised shop fittings for the food sector. From a strong in-house production, they design, build and assemble high-quality refrigeration installations and furniture for bakers, butchers, supermarkets and other food professionals. Thanks to the close cooperation between engineering, production and installation, they supervise projects from design to delivery and maintenance, with a pronounced focus on energy-efficient and innovative refrigeration techniques. To expand the team, they are currently looking for a service coordinator.
