Service coordinator
Function
As Service Coordinator, you are a central link within the service department.
You ensure that Service Technicians and Service Engineers can work efficiently. You create and manage the planning, monitor capacity, ensure that materials and information are available and make adjustments when priorities change.
You are the first operational point of contact for the technicians and also take an active role in operational contact with clients.
You combine technical knowledge with planning, organisation and administrative follow-up. You know what is needed to prepare a service assignment properly, maintain an overview when several matters arise simultaneously and ensure that files are handled correctly and completely afterwards.
You work from the head office in Lommel and are closely involved in the day-to-day operations of the service department.
Specifically, what will you do?
- Planning & coordination: You create and manage the daily service planning. You allocate interventions based on priorities, competencies and availability, and make adjustments where necessary.
- Technical preparation: You ensure that technicians can start their assignments with the right information, materials, parts and tools. To this end, you coordinate with the warehouse, suppliers and operations.
- Operational support: During interventions, you act as a point of contact for technicians and help to resolve practical or logistical obstacles quickly.
- Customer contact: You maintain operational contact with clients regarding planning, interventions and service needs. You translate their requests into clear and achievable service assignments.
- Administrative follow-up: You accurately process hours, interventions and service orders in Odoo. You also ensure that service files are fully prepared for further handling and invoicing.
- Quality & follow-up: You review intervention and inspection reports, monitor the correct execution of processes and flag deviations, errors and areas for improvement.
- Improvement & continuity: You independently follow up on action points, help to further structure the service operations and identify opportunities for maintenance contracts, overhauls, optimisations and additional services.
Profile
- You have at least 3 years of relevant work experience in a technical or industrial coordinating, operational or service-oriented role.
- You hold a master's degree in industrial sciences. A specialisation in electromechanics is an advantage.
- You have a strong knowledge of mechanics and understand technical drawings, components and maintenance tasks well enough to coordinate service assignments correctly.
- You are strong in planning, organisation and follow-up.
- You manage multiple files and priorities simultaneously without losing overview. Even when the planning suddenly changes or an urgent intervention comes up, you remain calm and decisive.
- You work accurately, but do not lose yourself in details. Correct execution and progress go hand in hand for you.
- You take responsibility and do not wait for instructions when you can resolve matters independently.
- You communicate clearly and concisely with technicians, colleagues, clients and suppliers.
- You have experience with operational client contact or feel comfortable in that role.
- You are digitally proficient and pick up ERP systems quickly. Experience with Odoo is an advantage.
- You are hands-on and enjoy working in an environment where planning and reality do not always align.
- You are flexible and willing to grow alongside a service organisation in full development.
