Function

As Export freight forwarder in Antwerp you will ensure that ocean export shipments are closely monitored from start to finish. Based at the office in Antwerp (2030) You’ll combine file management, planning, communication and commercial accuracy in a single dynamic role. You’ll be the point of contact who ensures that shipments are dispatched smoothly, documents are correct and customers always know where their cargo is.

You’ll be working in an international logistics environment where no two days are ever the same. Amidst bookings, documentation, exceptions and deadlines, you keep on top of things without losing your smile. You switch effortlessly between clients, overseas agents, carriers and internal teams, whilst ensuring the quality, timing and cost-efficiency of every case.

Your main duties and responsibilities:

• Receiving, processing and tracking customer bookings and export files.
• Sending dispatch instructions abroad in accordance with customer specifications and internal procedures.
• Proactively inform customers about departures, costs, delays and any customs or inspection hold-ups.
• Preparing and checking export documentation for customs clearance and to ensure compliance with laws and regulations.
• Managing exceptions in consultation with customers, suppliers, hauliers and overseas offices.
• Ensure that files are compiled fully and accurately, with all the necessary documents in the correct order.
• Preparing cost forecasts, monitoring payables, receivables and accruals, and disputing incorrect costs where necessary.
• Invoicing cases to the correct party, taking into account payment terms and commercial agreements.
• Organising the collection and dispatch of export consignments, including liaising with carriers right up to the point of departure.
• Confirming load details and POD information, and ensuring the system remains accurate and up to date.
• Working in accordance with quality, compliance and process guidelines, with a keen eye for service and detail.

Profile

For this role, we are looking for a freight forwarder with 3 to 5 years’ relevant experience within exports, ocean freight. You feel at home in an operational role where administration, follow-up and customer contact go hand in hand, and you’re happy to keep several cases moving smoothly at the same time.

What we’d like to see from you:

• At least 3 years’ experience in export forwarding or a similar logistics role.
• Experience with ocean export shipments and document processing is a major asset.
• A good understanding of logistics workflows, Incoterms and basic customs procedures.
• Strong administrative skills and a keen eye for detail.
• The ability to switch easily between different tasks and priorities.
• A good command of Dutch and English; French and German would be an advantage.
• Proficiency in Microsoft Office and experience with logistics systems.
• Strong communication skills, service-oriented and professional when dealing with exceptional circumstances.
• Being able to work independently, but also enjoying being part of a team that gets things done together.
• A qualification in logistics or freight forwarding, or equivalent experience, would be an advantage.
• You work with precision, meet deadlines and ensure the quality of your files as if they were little gems.
