Function

As Import Officer at Haaltert You are the key person who ensures the entire import process runs smoothly from start to finish. You’ll closely monitor international shipments, keep a close eye on the timing and ensure that every delivery is processed correctly and efficiently. In this role, you’ll combine administrative accuracy with strong communication skills and a good understanding of logistics flows.

You will work on a daily basis with customers, hauliers, suppliers, customs authorities and internal colleagues to ensure that import dossiers are processed smoothly. In doing so, you will maintain an overview of documentation, costs and revenues, and ensure that all dossiers comply with the applicable legislation and meet the customer’s expectations.

Your duties will include:

  • Tracking and coordinating import consignments from departure to arrival.
  • The preparation, checking and processing of transport, import and customs documents.
  • Coordination with customers, transport partners, suppliers and internal departments.
  • Monitoring deadlines, quality and ensuring that administrative procedures are carried out correctly.
  • Tracking costs, revenue and file information in the logistics system.
  • Identifying bottlenecks and actively contributing ideas for efficient solutions.

You’ll have a varied role in which you’ll switch between administrative tasks, coordination and customer-focused work on a daily basis. Thanks to your attention to detail and ability to work under pressure, the import process will run safely, smoothly and professionally.

Profile

For this role, we are looking for a candidate with solid initial experience in import or logistics administration, combined with a keen interest in international goods flows and customs procedures. You are organised, have strong communication skills and enjoy following up on cases accurately and punctually.

We expect you to work effectively in a dynamic environment and to quickly familiarise yourself with new software and working methods. You will also have strong analytical skills to manage administrative details, costs and documentation accurately.

Your profile:

  • Ideally, you will have a professional bachelor’s degree in Transport, Logistics or a similar field, or equivalent relevant experience.
  • You have 3 to 5 years’ experience in an import, export or logistics role.
  • You have an excellent command of Dutch and English; knowledge of French would be a great asset.
  • You work accurately and in a structured manner, even when deadlines are piling up.
  • You are customer-focused, have good communication skills and work well with various parties.
  • You are interested in customs legislation, import procedures and logistics administration.
  • You are flexible, solution-oriented and able to cope well under pressure.
  • You pick up new systems and digital tools quickly.

Experience in preparing import and customs documents is important, as is a willingness to take on responsibility and contribute ideas to help optimise processes.
