Function

As Import forwarder Based in Antwerp, you will be responsible for the accurate and timely handling of ocean import shipments from start to finish. You will monitor files closely, ensure the quality of service and make sure that customers, overseas agents and internal partners are always kept clearly and professionally informed.

In this role, you will be based at the Antwerp 2030 office, combining operational precision with a customer-focused approach and a strong sense of planning and follow-up. You will be responsible for ensuring the smooth handling of cases, accurate documentation, cost estimates and invoicing, and you will take swift action should any exceptions or delays arise.

• Receiving, processing and tracking customer bookings and import files.
• Sending dispatch instructions abroad in accordance with customer specifications and internal procedures.
• Keep customers informed in good time about arrival, costs, delays and any customs or inspection hold-ups.
• Checking customs clearances and following up on any discrepancies or missing information.
• Managing exceptions in consultation with customers, suppliers, hauliers and overseas offices.
• Ensure that files are compiled correctly and completely, with all the required documents in the correct order.
• Preparing accurate cost forecasts, managing payables, receivables and accruals, and disputing incorrect costs where necessary.
• Invoicing of cases to the correct party, taking into account payment terms and commercial agreements.
• Organising the tracking of dispatch and delivery, including communication with carriers right through to delivery.
• Verifying POD information and updating the system correctly.
• Work in accordance with the organisation’s quality, compliance and process guidelines.

Profile

For this role, we are looking for a freight forwarder with 3 to 5 years’ relevant experience in imports, in ocean freight. You work in a structured manner, communicate effectively and remain accurate and customer-focused even under time pressure:

• At least 3 years’ experience in import forwarding or a similar logistics role.
• Experience with ocean import shipments, customs procedures and document processing is a strong advantage.
• A good understanding of logistics workflows, Incoterms and basic customs procedures.
• Strong administrative skills and attention to detail.
• The ability to switch easily between different cases and priorities.
• A good command of Dutch and English, French and German are an advantage
• A strong knowledge of Microsoft Office and the ability to work efficiently with logistics systems.
• Strong communication skills, service-oriented and able to handle exceptional circumstances professionally.
• Be able to work independently, but also be a real team player.
• A qualification in logistics, freight forwarding or equivalent experience would be an advantage.
• You work meticulously, meet deadlines and ensure the quality of your files.
